Douglas: How often do you get to the end of the day and wonder, What did I accomplish today? I’ve experienced this myself many times. When my wife asks what I worked on all day, sometimes I can’t remember. Either I’ve worked on so many things that they blur together, or I struggle to think of a single task I truly completed.
This disconnect usually happens because I’m not clear on my priorities. Our time and energy naturally go toward what we value most. Without clear priorities, however, we drift aimlessly from one activity to another with no defined plan. Think of it as putting a sailboat on the water without an anchor. The energy of the wind and waves will move it, but there’s no telling where it will go. Without guidance and direction, you might spend the whole day being busy but unproductive.
Throughout your day, you’re expending energy—so the real question is: Where is that energy going? You are better equipped to answer those questions when you have plans and priorities. For example, I wake up each morning to write my blog. When I’m focused, I can finish a post in 20 minutes. On distracted mornings, I spend the same energy staring at social media or letting my mind wander. It’s not a question of having enough energy but managing where energy is directed.
The Importance of Prioritization
The best way to manage your time and energy is by aligning them with your priorities. Start by identifying what truly matters to you. Then, look closely at your day: Where are you spending time on the projects that align with your priorities? Where are you wasting time on things that don’t matter? Are there moments when you’re letting life direct you instead of the other way around?
If you don’t set clear priorities, you’re letting external circumstances steer your direction. By consciously deciding how to spend your time and energy, you take control of the “sails” and move toward what truly matters.
Recognize the Signs of Poor Time Management
If you’re feeling listless or directionless, it’s probably not due to a lack of time or energy but a lack of alignment. We all have the same 24 hours in a day, and time management becomes effective when you use that time in a way that reflects your values and goals. If you’re feeling drained, start by ruling out any physical health concerns. After that, take a hard look at what’s sapping your mental and emotional energy.
You’re ultimately in control of how you spend your time and energy. Until you figure out where you’re investing it now, you can’t create a plan for more effective management in the future.
But what happens when life throws you an unexpected curveball? Time management often feels like juggling multiple priorities, and surprises can easily throw everything off balance. The key is to build resilience and flexibility into your schedule. Here are some strategies that can help:
Build Flexibility into Your Schedule
Avoid setting up a rigid schedule that collapses under unexpected events. Instead, set aside buffer time throughout your day—30 minutes here or an hour there—to handle unplanned interruptions. If nothing unexpected happens, use that time to get ahead on tasks or take a well-deserved break.
Practice Single-Tasking
It’s tempting to multitask when things get chaotic, but multitasking often leads to mistakes and wasted time. Instead, focus on one task at a time. Single-tasking keeps you present, reduces stress, and ensures you’re making meaningful progress, even during hectic moments.
Learn to Say No (or Delegate)
Knowing when to say no is crucial when unexpected demands arise. If a new task isn’t a high priority, or you can’t manage it, either decline or delegate it to someone else. Protecting your time and energy ensures you can focus on what matters most without feeling overwhelmed.
Stay Calm and Refocus
Unexpected situations can trigger stress, but it’s essential to stay calm. Take a moment to breathe and reassess the situation. Ask yourself: What’s the next best step I can take now? Staying focused and taking deliberate actions will help you handle surprises more effectively.
By implementing these strategies, you’ll build resilience in your time management, allowing you to navigate surprises with greater ease and confidence. The goal isn’t to control every moment but to remain flexible and aligned with your core priorities, even when things don’t go as planned.
